Privacy Policy of Ellis-prosthetics

DHM-medical B.V. is an independent developer and manufacturer of innovative products in the field of prosthetics. Ellis-prosthetics is a product division of DHM-medical B.V.

Through our website we offer information about our products to end users and our distributor. Any names and photos of our users are placed in consultation with these users. DHM-medical considers any personal data as Vulnerable Data and adheres to the requirements of the privacy legislation. This means, for example, that:

• we clearly state the purposes for which we process personal data. We do this via this privacy statement;

• we restrict the collection of personal data to only the personal data necessary for the purposes for which they are processed; which is related to data on measurement forms, intended to produce customized parts for end users and ship these to their prosthetists. The data may pertain to  name, address, e-mail and telephone details for the purpose of delivering orders, and in some cases additional information (measurement forms, images of the amputee stump, data on used fitting type for third party Prosthetics components we need to connect to).

• we ask explicit permission to process any personal data in cases where consent is required;

• we do not to pass on personal details to third parties, unless this is necessary to deliver the products requested or when we are legally obliged to do so;

• when we share personal data, conduct agreements with third parties to ensure, among other things, that this data will not be used for other purposes;

• we take appropriate security measures to protect personal data and also require it from parties who process this personal data on our instructions;

• we respect your right to provide personal data for inspection, correction or deletion.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to our website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When a visitor enters personal data through our contact page form, we ask permission to use the contact data entered, by obliging the visitor to pick the box that this privacy policy has been read and understood.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

We don’t currently, but in future we may use Google Analytics to analyze our website and visitors.

Who we share your data with

Provision to third parties

We will only pass on the information you provide to third parties, if this is necessary for the delivery of the products ordered by you. We may pass on your details to one of our distributors in your region.

When we provide your data to a third party, we provide, among other things (with an agreement), that your data will not be used for other purposes. We also agree that any privacy data will be deleted as soon as it is no longer needed.

Furthermore, we do not provide the information provided by you to other parties, unless this is legally required or permitted. For example, it is possible that the police will request information from us in the context of fraud investigations. In that case, we are legally obliged to provide this information.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.

• to approach you about a complaint, for further investigation
• to publish (anonymized data will be used) about any complaints
• to inquire if you are satisfied with our products, which is a legal obligation [Post Marketing Surveillance] for medical devices.
• to communicate with you by sending electronic newsletters and / or mail.
• to answer any questions or to handle any complaints via social media, e-mail, by mail or by telephone.
• to improve our website.

Additional information

Any additional client related information we archive in our database strictly relates to type of product that a client has requested information on, or has bought. We archive additional information that is voluntary shared with us in email correspondence, or through personal contact on a show or exhibition, i.e. the type of specialty clients are working in.

Secure and store

We take appropriate security measures to limit abuse of and unauthorized access to your personal data. In this way we ensure that only the necessary persons have access to the data, that access to the data is protected and that our security measures are checked regularly. We do not store your data longer than necessary. This means that we keep the data as long as necessary to deliver the service you have requested. With the exception of this, the data that we have to keep longer because the law obliges us to do so.

What third parties we receive data from

We receive data from our distributors, when clients have a question on a product or when a problem occurs. The data is stored in the complaint registration or in the general user feed back administration.

What automated decision making and/or profiling we do with user data

No automated decision making or profiling is applicable on user and client data.

We may change this privacy statement from time to time. Changes will be published on our website. We never use your data without permission for other purposes. It is advisable to consult this privacy statement regularly, so that you are aware of any changes.
